A successful export initially proves only that a file was created. Whether the notes, images, attachments, and links remain useful becomes clear after importing them into the new application. Do not move the entire collection immediately. A small trial exposes differences while the original system is still fully available.
Build a representative sample
Choose more than the simplest text note. Include one with an image, one with an attachment, a long structured page, and a note containing internal links. If you use checkboxes, tags, or handwriting, include those as well. Write down which properties are essential to your work and which are merely visual preferences.
Read the vendors' documentation to identify available export formats and the formats the destination accepts. A format intended for reading is not automatically a complete interchange format. Google Keep, for example, provides data export, but that does not mean every other notes application can immediately preserve every exported property.
Compare content and relationships
After importing, open the same sample notes in both applications. Compare titles, paragraph order, images, attachments, and dates. Internal links may still point to the old application. A visible link therefore does not prove that its destination was transferred as well.
Search for an unusual word from an imported note. This checks whether its content is searchable or arrived only as an image. Also test an attachment that needs to open outside the notes application. If the collection includes confidential material, review the destination account's sharing settings and storage location before importing the full set.
Make the changeover traceable
Choose a point after which new notes will be created only in the destination system. Otherwise, two different collections continue to grow and become harder to reconcile. Keep the original export unchanged, and record known losses such as tags that did not transfer. This record prevents a later search problem from being mistaken for a missing original note.
Delete the old collection only after important content has been checked and an independent backup exists. For a few difficult notes, manual transfer may be simpler than a complicated converter. The goal is to find and use your information again; an identical visual appearance is not always necessary to achieve that.
