A letter or agreement can look finished when markup is hidden while still containing tracked insertions and deletions. Turning tracking off stops recording new edits; it does not resolve the suggestions already stored in the file. Sharing a finished document therefore requires decisions about its content, not merely a switch to a cleaner display.

Reveal the full set of changes

Make a working copy first if you need to retain the review history. Then select a view that shows all relevant markup. Check filters for reviewers and change types. If the display includes only one person's changes, the others are easy to overlook.

Work through changes in order and read their surrounding context. A deleted number may simply have been replaced by another, while removing a qualification can fundamentally alter a statement. The color of the markup does not tell you whether the edit is appropriate.

If reviewers made conflicting edits, establish the intended final wording before using a bulk command. For an official date or a description of responsibilities, a short check with the owner is more useful than accepting everything without review.

Handle edits and comments separately

Accept or reject each edit. A bulk command is appropriate only after the entire affected set has been reviewed. Check again for remaining markup, including areas such as headers and footnotes that receive less attention during a quick scroll.

Comments are a separate type of feedback. Accepting a text edit does not automatically remove every discussion associated with it. Review comments separately and decide whether they should be resolved, retained, or removed from a distribution copy.

Once the wording is final, stop tracking further changes in that version if that matches the workflow. In another review round, tracking may be desirable. A document ready for reading and a document ready for further revision are different handoffs.

Inspect the actual file being delivered

Save the cleaned version, close it, and reopen that exact file. Read difficult passages without markup, because accepting or rejecting edits may leave duplicated words or broken transitions. Confirm that its filename identifies the intended version.

If you export a PDF, inspect both the export settings and the finished output. Depending on the settings, an export may include markup; the file extension is not evidence that the document has been cleaned. For sensitive material, include document properties and other hidden information in the review. Deliver only the version deliberately approved for sharing.
