An outside designer needs event photographs, not every record belonging to the organization. Sharing the parent folder containing both gives access too broadly. Define the scope of the collaboration before choosing the most convenient way to send a link. A prepared handover area makes it clear which files are actually intended for the other person.
Review the contents as a recipient
Place only the required material in the shared area. Check subfolders, accompanying files, and older variants. A filename may reveal sensitive information even before its file is opened. Remove unnecessary personal notes and internal calculations from the handover package as well.
If you create copies, establish who will update them. If the recipient needs to work continuously on the same document, carefully limited access to the authoritative file may be better. Two working copies with an unclear relationship create another version-management problem.
A sharing boundary in practice
A helper designing an invitation needs three photographs, approved text, and directions. Put precisely those materials in a handover area. Keep the parent event folder containing the attendee list and internal costs outside the share. A document added later does not automatically belong in the handover area too.
If the helper needs to return new drafts, agree on a suitable upload or editing route. They do not necessarily need permission to delete or redistribute every source asset. Review the service's available options and choose the simplest process whose permissions you understand completely and can remove after the assignment ends.
Choose the person and permission
Prefer access for the specific people who need it, and verify the exact email address. Viewing permission is enough for reading; editing is necessary only when changes are part of the assignment. Some services offer additional roles such as commenting. Available options depend on the account and organizational settings.
Consider permissions inherited from a parent folder or group. One restricted invitation does not automatically cancel broader existing access. Review the complete access list. A view-only label also does not guarantee that a recipient cannot record information by other means.
Test access and close it later
Open the link with a suitable recipient account or ask the other person to confirm the visible scope. Test both access to the required document and the boundary around material that should remain private. Your own owner view is not an adequate substitute.
For temporary assignments, record when access will be reviewed. Remove unnecessary permissions after completion and check additional links or group memberships. Revoking access does not recall downloaded copies. Agree early on how the recipient should handle those copies when the work ends.
